Before you start

  • Sign in as the workspace owner or an admin. Read-only members cannot change workspace content.
  • Have the source document available for comparison. A draft is not reliable just because it reads smoothly.

Step-by-step walkthrough

  1. Step 1

Wait for drafts to be ready

After a file import or pasted-text draft request, wait for processing to finish. Failed files are not approved SOPs; read their error messages separately.

  2. Step 2

    Check the title and placement

Compare Source with the title. Prefer an action-based name, such as Complete a client handover. Edit the summary, department and folder so a teammate understands the task before opening it.

  3. Step 3

Open Preview & edit full SOP

Inspect scope, prerequisites, step titles and details, verification and notes. Add or remove steps as needed. Compare troubleshooting suggestions with the source; do not treat invented fixes as company policy.

  4. Step 4

    Remove unwanted drafts and approve

Use the remove icon on drafts that should not be shared. Select Approve N SOPs only after every remaining ready draft is acceptable. Close without approval if you need to gather missing information first.

Practical example

Fix a vague filename

The source “final-v3.txt” might describe client handover. Rename its SOP to Complete a client handover, keep the source reference, and check that each access instruction matches your approved policy.

Common issues and fixes

AI has filled gaps with assumptions
Correct the editable fields or remove the draft and retry with clearer source material. Do not approve assumptions about passwords, pricing, safety or compliance.
I closed the draft review
Unapproved import drafts are temporary. Reopen the importer and process the source again if the draft is no longer available.

What success looks like

Approved SOPs preserve source context and contain instructions the team has actually checked.
