Keep SOPs up to date
Use verification status to review procedures that have not been checked for 90 days.
Before you start
- Sign in as the workspace owner or an admin. Read-only members cannot change workspace content.
- Compare the procedure with the current tool, policy or real workflow before confirming it.
Step-by-step walkthrough
Step 1
Open a procedure and check its status
Look beside the owner and updated date for Last verified or Needs review. Procedures become stale after 90 days without a relevant verification or update.
Step 2
Validate the actual workflow
Check account screens, required permissions, links and expected outcomes. Ask the responsible teammate about changes; the age flag indicates a need for review, not proof the SOP is wrong.
Step 3
Confirm or update
For a stale procedure that remains correct, select Still accurate. If it changed, select Update or Edit SOP, correct the fields and Save changes. For a current SOP you checked early, use Mark as verified today.
Step 4
Check the refreshed status
Reopen the SOP and confirm that its verification status reflects the review. Tell the team about a significant workflow change; updating the date alone does not explain a changed policy.
Practical example
An advertising platform changed its menu
Test the conversion setup steps against the current platform. Correct renamed menus and testing instructions before verifying the procedure.
Common issues and fixes
- I am a member and see no review buttons
- Members can report the issue, but an owner or admin must verify or edit the SOP.
- A recent review did not settle a factual error
- The verification clock is not an accuracy checker. Correct the content and run the real verification steps before confirming it.
What success looks like
The SOP has been checked against present-day work, and its review status is current.
