Give clients access to selected workspaces
Invite a client as a read-only member without exposing other clients’ workspace knowledge.
Before you start
- Sign in as the workspace owner or an admin. Read-only members cannot change workspace content.
- Separate client content into distinct workspaces before inviting clients. Access is workspace-level, not folder-level.
Step-by-step walkthrough
Step 1
Prepare a client-specific workspace
Place only that client’s permitted SOPs, documents and updates in its workspace. A Member can read the workspace content; do not rely on folders to hide confidential material.
Step 2
Select only the intended workspaces
Open Portal settings and find Invite by email. Under Give access to, select the client’s workspace and clear any internal or other-client workspaces.
Step 3
Invite with Member access
Enter the client’s correct email, select Member and choose Invite. Admin would allow editing and access management, so it is not the default client role.
Step 4
Review membership and joining methods
Check People after the client accepts. Disable unnecessary private invite links and leave Company email domain blank on tightly controlled client workspaces.
Practical example
Two clients, two workspaces
Invite Client A only to Workspace A and Client B only to Workspace B. Keep your agency’s internal pricing, staff procedures and other clients’ material in separate workspaces.
Common issues and fixes
- I need to hide a single folder from a member
- Current access control is per workspace. Move confidential material to a different workspace rather than promising folder-level secrecy.
- A client already belongs to another workspace
- Sending a narrower invitation does not revoke existing access. Review and remove the unintended membership separately.
What success looks like
Clients can read only the workspaces they belong to, without editing your curated content.
