Use the AI assistant
Ask focused questions or request reviewed changes while keeping approved knowledge as the source of truth.
Before you start
- Sign in to a workspace you own or have been invited to. Search only includes that workspace’s approved SOPs.
- AI requests require available credits. Owners/admins can apply portal edits; members use the read-only experience.
Step-by-step walkthrough
Step 1
Open Ask AI
Select Ask AI in the top bar. Read and accept the first-use notice if shown. Decide whether you need an answer or an actual workspace change.
Step 2
State context and intent
For an answer, name the task and source procedure. For an edit, specify the section and scope, such as “Change only the welcome subtitle; leave departments and SOPs unchanged.”
Step 3
Verify answers and proposals
Open source links for answers. For an edit, inspect Review changes and select Discard if the request was misunderstood. Billing, passwords and other workspaces are not portal-edit targets.
Step 4
Apply only intended changes
Owners/admins can select Apply on an acceptable proposal. Check the result and use Undo last portal change immediately in the panel if necessary. Use free library search when you only need to locate a procedure.
Practical example
A useful question
“Based on our client handover SOP, which access checks should the new manager complete before taking over?” is more useful than “Tell me about onboarding.”
Common issues and fixes
- AI does not know our policy
- The assistant depends on the available workspace SOPs. Add and approve the real policy before relying on answers about it.
- AI offers a change when I wanted an explanation
- Discard any proposal and restate the request as a question, explicitly asking for no workspace changes.
What success looks like
A checked answer or a narrowly approved change, rather than blind reliance on AI output.
