Organize departments and folders

Create sensible departments and folders, then place SOPs where teammates expect to find them.

Before you start

  • Sign in as the workspace owner or an admin. Read-only members cannot change workspace content.
  • Decide whether each grouping is a department, a folder, or simply a tag.

Step-by-step walkthrough

  1. Step 1

    Open the department menu

Select a department in the sidebar to see its folders and procedures. Use broad ownership groups such as Client Success or Finance, not a separate department for every document.

  2. Step 2

    Add or rename departments

Open Portal settings. In Tabs, rename an existing department directly, or type a name in New tab and select Add. Avoid removing a tab that still contains procedures.

  3. Step 3

    Create a folder

Return to the department. Enter a folder name in New folder and press Enter or use the adjacent plus icon. Use a task grouping such as Reporting or Onboarding.

  4. Step 4

Place the SOPs and check navigation

For new imports, choose the department and folder during review. For an existing SOP, use Edit SOP to adjust its placement and Save changes. Reopen the folder to confirm it is easy to find.

Practical example

A client-services structure

Create Client Success as the department, then use Onboarding, Reporting and Renewals as folders. Keep access-request SOPs in Onboarding instead of creating an Access Requests department.

Common issues and fixes

A tab contains important SOPs
Do not use the trash icon as a way to reorganize: removing a tab also removes its SOPs from the current workspace. Move the procedures before considering deletion.
Similar folders keep appearing
Use consistent names during import review. Prefer one Reporting folder over Monthly Reports, Reporting Docs and Reports unless they serve genuinely different needs.

What success looks like

Departments describe responsibility, folders describe related tasks, and SOP placement is predictable.
